Please click on the ribbon Insert | Document
Select the document which you want to insert in the current document and click open. Your second document content will be inserted in the current document.

If you have increased the size using Ctrl+M and want to reduce the size, you can simply press Ctrl+Shift+M to do that.
If you want a customized size you can use moue to adjust it on the ruler on the top.

Please don't change this directory location as SoftMaker Office loads settings from this directory only. If you want you can store your documents, templates, backups, etc on different locations for which options are already available as you mentioned.

You can do that already by splitting the document in chapters.

Most probably it is because it pasting the format also with the text so please try to paste unformatted text, you can do that from Ribbon Home | Paste > down arrow> select Paste unformatted text. I hope that will work fine in this situation and you will not get the gray text.
